These Terms and Conditions ("Terms") govern your use of our website www.rapidadventures.lk and all services provided through our platform, including booking of adventure activities, accommodation, vehicle rentals, and related travel services.

Rapid Adventures (Private) Limited is a registered private limited company incorporated under the Companies Act No. 07 of 2007 and registered with the Registrar of Companies of Sri Lanka. We operate as a licensed online travel agent and comprehensive booking platform, specializing in adventure tourism, curated accommodations, and vehicle rentals across Sri Lanka.

Acceptance of Terms:
By accessing our website, making a booking, or using any of our services, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions, along with our Privacy Policy. If you do not agree with these Terms, you must not use our website or services.
Our Role:
Rapid Adventures operates as both:
- Principal Operator – for activities directly operated and managed by our team
- Travel Agent/Booking Platform – for activities, accommodations, and services provided by carefully vetted third-party suppliers and partners
The distinction between these roles will be clearly indicated on each activity, accommodation, or rental listing on our website.
2. Definitions
For the purposes of these Terms:
- "Client," "Customer," "You," "Your" refers to the person making the booking and all persons named on the booking or participating in the service.
- "Booking" refers to any reservation made through our platform for activities, accommodations, rentals, or packages.
- "Services" includes all adventure activities, tours, accommodations, vehicle rentals, and related travel services offered through our platform.
- "Third-Party Operator/Supplier" refers to independent businesses that provide services featured on our platform.
- "Activity" refers to any adventure experience, tour, or excursion offered through our platform.
- "Package" refers to bundled services that may include activities, accommodation, transport, and/or meals.
- "Balance Payment" refers to the remaining amount due after the initial advance payment.
- "Premium Package" or "Travel Assurance Premium" refers to the optional add-on service providing enhanced booking flexibility, cancellation protection, and exclusive benefits as detailed in Section 20.
- "Force Majeure" refers to unforeseeable circumstances that prevent fulfillment of obligations, including natural disasters, extreme weather, civil unrest, pandemics, government restrictions, or acts of God.
3. Booking Process and Confirmation
3.1 How to Book

3.2 Booking Confirmation
- Submission of a booking request through our website or other channels does NOT guarantee automatic confirmation.
- All booking requests are subject to availability and review by our team.
- A booking is considered confirmed ONLY when you receive written confirmation from Rapid Adventures via email along with payment instructions.
- We reserve the right to accept or decline any booking request at our sole discretion.
3.3 Booking on Behalf of Others
If you make a booking on behalf of other participants, you:
- Confirm that you have obtained their consent to share their personal information
- Agree to these Terms on behalf of all participants
- Are responsible for ensuring all participants are aware of and comply with these Terms
- Will be the primary contact for all booking-related communications
3.4 Private vs. Group Bookings
- Private Bookings: Reserved exclusively for your party. Clearly indicated on activity pages.
- Group Bookings: May include other participants. We reserve the right to combine bookings to form groups based on availability and mutual understanding, while respecting the privacy preferences of all guests.
- The booking type will be specified on each activity page and in your booking confirmation.
4. Payment Terms and Policies
4.1 Payment Methods
We accept payments through:
- Secure online payment gateway (third-party processor)
- Bank transfer
- Cash payment (for on-site transactions)
- Credit cards (via payment gateway)
Important: Rapid Adventures does NOT store credit card information. All online payments are processed securely through our licensed third-party payment gateway.
4.2 Advance Payment and Deposit
- An advance payment is required to confirm your booking.
- The advance payment amount varies by service type and will be clearly specified during the booking process:
- Most Activities: 50% of total package value
- Some Special Activities: May require full payment for confirmation (clearly indicated on activity page)
- Accommodations: Payment terms vary by property and are specified on each accommodation page
- Vehicle Rentals: Payment terms specified in rental agreement
All advance payments are non-refundable unless explicitly stated otherwise.
4.3 Balance Payment
- Balance payment must be settled ON OR BEFORE the commencement of the activity/tour/service.
- For activities requiring full payment at booking, this will be clearly indicated on the activity page.
- If balance payment is not received by the due date specified in your booking confirmation, your reservation may be cancelled without refund of the advance payment.
4.4 Payment Currency
- Prices on our website are displayed in USD for international customers and LKR for local customers.
- Payment can be made in the currency specified in your booking confirmation.
- Exchange rates (if applicable) will be based on rates at the time of payment.
4.5 Price Validity
- All prices are subject to change without prior notice until booking is confirmed and payment is received.
- Once a booking is confirmed with payment, the price is guaranteed and will not be subject to increase.
4.6 Additional Charges
You are responsible for any additional costs not included in your package, including but not limited to:
- Personal expenses and purchases
- Tips and gratuities (optional but appreciated)
- Travel insurance
- Visa fees
- Meals not specified in package inclusions
- Optional activities or upgrades
- Damage to equipment or property (see Section 12)
4.7 Credit System
- Credits issued by Rapid Adventures can be used as partial or full payment for future bookings.
- Credits are valid for 2 years from the date of issue.
- Credits cannot be exchanged for cash under any circumstances.
- If a trip paid with credit is cancelled, the amount will be converted back into credit (not cash refund).
- Credits are non-transferable and can only be used by the account holder.
5. Cancellation and Refund Policy
5.1 NO REFUNDS After Activity Commencement
CRITICAL POLICY: Once any activity, tour, or service has commenced, NO REFUNDS will be issued under any circumstances. This includes situations where:
- You decide not to complete the activity
- You are dissatisfied with any aspect of the service
- You face personal emergencies
- Weather conditions change during the activity
- You disagree with guide decisions or safety protocols
Please carefully consider your booking before confirming. Once you begin participation, all payments are final.
5.2 Cancellations by Customer
For Activities and Tours:
All cancellation requests must be submitted in writing via email to book@rapidadventures.lk.
- IMPORTANT: Cancellation policies vary depending on the activity type and payment structure.
Activities Requiring 100% Payment for Confirmation:
Some activities require full payment (100%) to secure your booking. These activities are clearly marked on their respective activity pages with the note "Full payment required for confirmation."
For these activities:
- ANY cancellation at ANY time: 100% of total cost (NO REFUND)
- This applies regardless of how far in advance you cancel
- These activities have limited availability and full commitment is required
Standard Cancellation Charges (for activities with advance payment):
For activities that require advance payment with balance due before commencement:
- More than 7 days before activity date: Loss of advance payment
- 7 days or less before activity date: 100% of total cost (no refund)
- No-show or same-day cancellation: 100% of total cost (no refund)
Always check your booking confirmation and the specific activity page to confirm which cancellation policy applies to your booking.
For Accommodations:
Cancellation policies vary by property and are clearly stated on each accommodation page and in your booking confirmation. Most accommodations follow similar cancellation timelines as activities, but some may have different terms.
For Vehicle Rentals:
Cancellation policies for rentals will be specified in your rental agreement. Generally, advance payments are non-refundable.
For Packages (Multi-Day Tours):
- More than 30 days before start date: Loss of advance payment
- 30-15 days before start date: 75% of total cost
- 14 days or less before start date: 100% of total cost (no refund)
5.3 Non-Refundable Items
The following are ALWAYS non-refundable, regardless of cancellation timing:
- All advance payments (cash or online)
- Pre-purchased permits, tickets, or entry fees
- Pre-booked flights or train tickets
- Reserved accommodation (unless property's cancellation policy allows)
- Vehicle rental deposits
- Processing fees and bank charges
5.4 Modifications and Rescheduling
- Requests to modify or reschedule bookings are subject to availability and must be made in writing.
- Modifications may incur additional charges.
- Rescheduling requests made less than 7 days before the activity date may be treated as cancellations.
- We will make reasonable efforts to accommodate rescheduling requests but cannot guarantee availability.
- Changes are subject to mutual agreement between you and Rapid Adventures.
Important: Any changes requested after receiving booking confirmation must be communicated well in advance and are subject to availability and additional fees.
5.5 Weather-Related Cancellations and Postponements
Weather-related cancellations are at the sole discretion of Rapid Adventures.
- We continuously monitor weather reports and consult with relevant meteorological departments.
- Only Rapid Adventures has the authority to cancel or postpone activities due to weather conditions. Customer requests for cancellation based on weather concerns from third-party sources or personal judgment will NOT be accepted.
- If WE cancel an activity due to adverse weather:
- We will offer to reschedule to the next available date at your convenience, OR
- We will offer an alternative activity/package of equal value, OR
- We will provide a full refund of all payments made
- If adverse weather conditions arise DURING the activity, there will be NO REFUND, but we will:
- Reschedule the remaining portion to the next available date, OR
- Offer a different package option of similar value
Customer-Initiated Weather Cancellations: If you choose to cancel due to weather concerns without our authorization, standard cancellation charges apply.
5.6 Force Majeure
In the event of force majeure circumstances (natural disasters, pandemics, civil unrest, government restrictions, etc.), we reserve the right to cancel or postpone services. In such cases:
- We will offer alternative dates or substitute services of equal value, OR
- Provide a full refund minus any non-recoverable costs already incurred
- We are not liable for any consequential losses, additional expenses, or indirect damages
6. Participant Requirements and Responsibilities
6.1 Age Requirements
- Minimum age requirements vary by activity and are specified on each activity page.
- Participants under 18 years of age must be accompanied by a parent or legal guardian.
- Parental consent is required for all minors participating in activities.
6.2 Health and Fitness Requirements
IMPORTANT: Adventure activities involve physical exertion and inherent risks. By booking, you confirm that:
- You are in good physical and mental health
- You have no medical conditions that would prevent safe participation
- You have disclosed any relevant medical conditions to us prior to the activity
- You are taking any required medications and have them with you
We reserve the right to:
- Request medical certificates or fitness assessments before confirming certain bookings
- Refuse participation if we determine that you are not fit for the activity
- No refunds will be issued if participation is denied due to undisclosed medical conditions or lack of fitness
6.3 Identity Verification
All participants must provide valid identification:
For Local Residents:
- Valid Sri Lankan National Identity Card (NIC) is required to qualify for local rates
- Failure to present valid NIC may result in being charged foreign rates (no refunds for rate differences)
For Resident Visa Holders:
- Holders of Sri Lankan residence visas will be categorized as foreigners for pricing purposes unless specifically stated otherwise on the activity page
For Foreign Nationals:
- Valid passport must be presented
Identity Verification:
- Rapid Adventures reserves the right to verify your identity at any time
- You must be prepared to present valid identification upon request at activity centers or accommodations
- If fraudulent documents or misrepresentation is detected, our staff has the authority to IMMEDIATELY CANCEL your booking with NO REFUND
- False identity claims or fraudulent documentation may result in legal action
6.4 Conduct and Behavior
All participants must:
- Behave respectfully toward guides, staff, other participants, and local communities
- Follow all instructions provided by guides and instructors
- Comply with all safety regulations and guidelines
- Respect environmental conservation principles
- Not be under the influence of alcohol or drugs during activities
- Not engage in any illegal activities
We reserve the right to remove any participant who:
- Endangers themselves, staff, or other participants
- Behaves inappropriately, abusively, or disruptively
- Fails to follow guide instructions or safety protocols
- Is under the influence of alcohol or drugs
No refunds will be issued for removal due to inappropriate conduct.
7. Safety, Guide Authority, and Assumption of Risk
7.1 Nature of Adventure Activities
CRITICAL ACKNOWLEDGMENT:
All activities offered by Rapid Adventures are adventure activities that involve inherent risks. These activities take place in natural environments where conditions can be unpredictable and potentially hazardous. By participating, you acknowledge and accept these risks.
Adventure activities may include but are not limited to:
- Physical challenges and exertion
- Exposure to natural elements (sun, rain, wind, cold)
- Uneven terrain and remote locations
- Water-based activities with currents and depths
- Heights and elevated positions
- Wildlife encounters
- Equipment-dependent activities
7.2 Guide Authority and Decision-Making
THE GUIDE'S DECISION IS FINAL AND BINDING.
During any activity, tour, or service:
- Our guides and instructors have complete authority over all safety and operational decisions
- Guides are trained, experienced professionals responsible for the safety of all participants
- You MUST respect and follow all guide instructions without argument or negotiation
- Guides have the right to modify, shorten, or terminate activities based on safety concerns, weather conditions, or participant behavior
Important: Disagreements with guide decisions, arguments, or refusal to follow instructions are NOT grounds for refunds, complaints, or compensation. Guide decisions are made in the interest of safety and cannot be challenged during the activity.
7.3 Assumption of Risk
By participating in our activities, you explicitly acknowledge and agree that:
- Adventure tourism involves inherent and unavoidable risks
- You voluntarily assume all risks associated with participation
- You understand that injuries, accidents, illness, or death may occur
- You participate at your own risk
- Environmental and natural conditions are beyond our control
- Weather, terrain, wildlife, and other natural factors can create hazardous situations
- Equipment, while maintained to high standards, can fail
- You waive any claims against Rapid Adventures for injuries or damages arising from normal adventure activity risks
7.4 Compliance with Safety Protocols
You agree to:
- Attend all safety briefings
- Use provided safety equipment correctly
- Inform guides of any concerns or difficulties immediately
- Follow all instructions regarding equipment use
- Report any equipment defects or malfunctions immediately
- Not take unnecessary risks or deviate from approved routes/plans
Failure to comply with safety protocols may result in removal from the activity with no refund.
7.5 Force of Nature and Environmental Factors
Nature is unpredictable and beyond our control.
- Weather conditions can change rapidly and without warning
- Natural disasters, extreme weather, and environmental events are possible
- Wildlife behavior is unpredictable
- Water levels, currents, and sea conditions can vary
- Terrain conditions may differ from descriptions due to natural changes
We are not responsible for:
- Injuries or incidents caused by natural phenomena
- Changes in environmental conditions
- Wildlife encounters or behavior
- Weather-related disruptions (see Section 5.5 for cancellation policies)
You acknowledge that respect for nature and understanding of its unpredictability are essential parts of adventure tourism.
8. Liability and Limitation of Responsibility
8.1 Our Role as Operator and Agent
As Principal Operator (for our own activities):
For activities directly operated by Rapid Adventures, we are responsible for:
- Providing qualified and trained guides
- Maintaining equipment to appropriate safety standards
- Conducting safety briefings and risk assessments
- Operating activities in accordance with industry best practices
We are NOT liable for:
- Injuries or incidents arising from inherent activity risks
- Participant failure to follow instructions
- Participant misrepresentation of health/fitness
- Acts of nature or force majeure events
- Participant negligence or reckless behavior
As Booking Agent (for third-party services):
For activities, accommodations, and services provided by third-party operators and suppliers, Rapid Adventures acts ONLY as a booking agent and intermediary.
We are NOT responsible for:
- Quality, safety, or conduct of third-party operators
- Injuries, damages, or incidents occurring during third-party services
- Delays, cancellations, or changes made by third-party providers
- Food quality or hygiene at third-party establishments
- Accommodation standards, cleanliness, or facilities
- Vehicle condition or performance for third-party rentals
- Actions or omissions of third-party staff
- Disputes between customers and third-party providers
8.2 Third-Party Services Disclaimer
Important Notice:
Services such as accommodation, food, transport, and certain activities are provided by carefully selected third-party suppliers. While we rigorously vet all partners for quality and safety standards, each supplier is an independent business operating under their own terms and conditions.
Our Role:
- We act as a responsible intermediary connecting you with quality service providers
- We will assist and advocate on your behalf in case of reasonable complaints (e.g., food poisoning, unclean rooms, safety violations)
- We may investigate complaints and, if warranted, remove suppliers from our platform
- We will facilitate communication between you and the service provider
Your Responsibility:
- Complaints or issues must first be addressed directly with the service provider on-site
- For serious issues, contact us immediately so we can assist
- Legal disputes arising from third-party services must be directed at the responsible party (the service provider), not Rapid Adventures
8.3 Accommodation Provider Relationships
We partner with a limited, carefully curated selection of accommodation providers who meet our quality standards. However:
- Each accommodation operates independently
- Payment policies, cancellation terms, and house rules are set by each property
- Complaints regarding accommodations should be addressed to the property management
- We will support you in resolving issues but are not legally liable for accommodation-related problems
- Serious or repeated quality issues may result in removal of the property from our platform
8.4 Maximum Liability
To the fullest extent permitted by Sri Lankan law:
Rapid Adventures' total liability to you for any claims arising from our services, whether in contract, tort, negligence, or otherwise, shall NOT exceed the total amount you paid to us for the specific booking in question.
We are NOT liable for:
- Indirect, consequential, or incidental damages
- Loss of profits, income, or business opportunities
- Loss of enjoyment or holiday value
- Emotional distress or mental anguish
- Costs of alternative arrangements
- Travel expenses to/from activities
- Medical expenses (you must have travel insurance)
8.5 Insurance Requirement
MANDATORY: We strongly recommend (and for certain activities, require) that all participants have comprehensive travel and activity insurance covering:
- Medical expenses and emergency evacuation
- Trip cancellation and interruption
- Personal accident and injury
- Personal liability
- Loss or damage to personal belongings
- Adventure activity coverage (standard travel insurance may exclude adventure sports)
Rapid Adventures is NOT responsible for any costs that would have been covered by adequate insurance.
9. Personal Belongings and Equipment
9.1 Disclaimer for Personal Property
RAPID ADVENTURES DOES NOT ACCEPT RESPONSIBILITY OR LIABILITY FOR LOSS, THEFT, OR DAMAGE TO PERSONAL BELONGINGS.
This includes but is not limited to:
- Electronic devices (phones, cameras, GoPros, laptops, tablets)
- Jewelry and valuable items
- Wearable devices (smartwatches, fitness trackers)
- Money and credit cards
- Clothing and personal items
- Documents (passports, IDs, travel documents)
9.2 Recommendations
We strongly advise:
- DO NOT bring high-value items, expensive jewelry, or unnecessary electronics on activities
- Leave valuables secured at your accommodation
- Use waterproof cases for items that must be brought on water activities
- Keep important documents in secure, waterproof storage
- Ensure your travel insurance covers personal belongings
9.3 Storage and Security
- While we may provide temporary storage facilities at activity centers, we do NOT guarantee the security of stored items
- Storage areas are provided as a courtesy only
- Use provided storage at your own risk
- We recommend keeping valuables with you or leaving them at your accommodation
9.4 Release from Liability
By participating in our activities, you acknowledge and agree that:
- Rapid Adventures and its staff, guides, and affiliates are NOT responsible for loss or damage to personal items
- You voluntarily assume all risk for personal belongings you choose to bring
- You release us from any claims related to lost, stolen, or damaged property
- This release applies to loss or damage occurring during activities, in transit, at activity centers, or at partner accommodations
10. Photos, Videos, and Media Use
10.1 Media Capture During Activities
By participating in our activities and events, you acknowledge and consent to the following:
Photos and videos may be taken during activities by:
- Rapid Adventures staff and guides
- Professional photographers/videographers engaged by us
- Third-party activity operators
- Other participants
10.2 Marketing and Promotional Use
Default Consent:
By attending an activity or event, you grant Rapid Adventures permission to:
- Capture photos and videos of you during the activity
- Use such media in marketing materials, promotional content, and advertisements
- Publish media on our website, social media platforms, brochures, and other marketing channels
- Use your image in perpetuity without compensation
This consent is given automatically unless you opt out (see Section 10.3).
10.3 Opt-Out Procedure
If you do NOT wish to be featured in photos or videos:
- Inform our staff or guides BEFORE or AT THE START of the activity
- Send an email to hello@rapidadventures.lk stating your preference
- If your image has already been used in marketing materials, request removal and we will make reasonable efforts to accommodate your request
Important: Even if you opt out of marketing photos, you may still appear in photos taken by other participants or in general crowd shots. We cannot control all photography during group activities.
10.4 Third-Party Operator Media
For activities operated by third-party suppliers:
- The operator's photo/video policy applies
- We encourage all partners to obtain consent, but Rapid Adventures is not responsible for their media practices
- Please inquire directly with the operator about their photography policy
10.5 Purchased Media Services
GoPro, Photo, and Video Packages:
Some guides or third-party providers may offer optional photo/video services for purchase (GoPro footage, professional photos, etc.).
IMPORTANT DISCLAIMER:
- These services are NOT included in your activity price unless explicitly stated
- Guides are activity leaders FIRST – photography/videography is NOT their primary duty
- Rapid Adventures is NOT responsible for the quality, availability, or delivery of purchased media
- If you purchase media services from guides on-site or third-party providers, you do so at your own risk
- Complaints about media quality, missing footage, or delivery issues should be directed to the guide or provider, NOT Rapid Adventures
- CRITICAL: Always verify and check memory cards, files, and outputs BEFORE leaving the activity center
- We cannot assist with lost or corrupted files after you leave the location
- No refunds or compensation will be provided for media-related issues
10.6 Your Rights
Despite granting us media usage rights, you retain:
- The right to request removal of your image from marketing materials (reasonable efforts will be made)
- The right to opt out of future media capture
- The right to report misuse or inappropriate use of your image
11. Intellectual Property Rights
11.1 Website Content Ownership
All content on www.rapidadventures.lk, including but not limited to:
- Text, descriptions, and articles
- Photographs and videos
- Graphics, logos, and designs
- Website layout and structure
- Software and code
is the exclusive property of Rapid Adventures (Private) Limited or used with explicit permission from copyright holders.
11.2 Copyright Protection
Unauthorized use of our content is strictly prohibited.
You may NOT:
- Download, copy, or reproduce photos, videos, or text for commercial purposes
- Use our images on other websites, social media, or booking platforms
- Distribute, modify, or create derivative works from our content
- Share our content without proper attribution and permission
- Use automated tools to scrape or copy website content
Permitted Use:
- Viewing content on our website for personal research and booking purposes
- Downloading/printing pages for your own personal trip planning
- Sharing links to our website (with proper attribution)
11.3 Trademarks
"Rapid Adventures," our logo, and other marks displayed on our website are registered or common law trademarks of Rapid Adventures (Private) Limited. Unauthorized use is prohibited.
11.4 Enforcement
Unauthorized use of our intellectual property constitutes copyright infringement under:
- Sri Lankan Intellectual Property Act No. 36 of 2003
- International copyright treaties and conventions
Violations may result in:
- Cease and desist demands
- Removal requests to hosting providers and search engines
- Legal action and claims for damages
- Criminal prosecution under applicable laws

11.5 User-Generated Content
If you submit content to us (reviews, photos, testimonials, comments):
- You grant us a perpetual, royalty-free license to use, modify, and display such content
- You confirm you own the rights to the content or have permission to share it
- You agree not to submit content that infringes third-party intellectual property rights
12. Damage to Property and Equipment
12.1 Participant Responsibility
You are financially responsible for any damage or loss to equipment, property, or facilities caused by you or anyone in your party.
This includes but is not limited to:
- Adventure activity equipment (rafts, kayaks, climbing gear, safety equipment, bicycles, etc.)
- Rental vehicles (motorcycles, tuk-tuks, cars)
- Accommodation property (furniture, fixtures, appliances, linens)
- Activity center facilities
- Partner supplier property
12.2 Damage Assessment and Charges
- Damage will be assessed immediately upon discovery
- You will be charged the actual cost of repair or replacement
- Charges must be paid before departure from the activity center or accommodation
- Failure to pay damage charges may result in legal action
12.3 Accidental vs. Negligent Damage
Accidental Damage:
- Normal wear and tear is expected and will not be charged
- Minor accidental damage may be waived at our discretion
Negligent or Intentional Damage:
- Damage caused by failure to follow instructions, reckless behavior, or intentional acts will be fully charged
- Serious cases may be reported to authorities
12.4 Equipment Inspection
Before and after each activity:
- Inspect equipment with the guide or rental agent
- Report any pre-existing damage immediately
- Sign equipment check-out/check-in forms
- Failure to report pre-existing damage may result in you being charged for it
13. Weather Monitoring and Activity Decisions
13.1 Weather Monitoring Authority
Rapid Adventures is the sole authority for weather-related activity decisions.
- We continuously monitor weather forecasts from the Department of Meteorology Sri Lanka and other reliable sources
- We consult with experienced guides and local experts
- We assess on-ground conditions at activity locations
- We prioritize safety above all other considerations
13.2 Weather-Related Decisions
ONLY Rapid Adventures has the authority to:
- Cancel activities due to adverse weather
- Postpone activities to safer dates
- Modify activities based on weather conditions
- Make weather-related safety decisions
13.3 Customer Weather Concerns
If you have weather-related concerns:
- Contact us immediately to discuss conditions
- We will provide our professional assessment
- We will make the final decision based on our expertise and current conditions
Customer requests to cancel based on:
- Third-party weather apps or forecasts
- Personal weather concerns or anxiety
- Predictions from non-official sources
- Fear of potential weather (when conditions are currently safe)
Will NOT be considered weather cancellations by us and will be subject to standard cancellation charges (no refund).
13.4 Trust in Our Expertise
As a reputable and experienced adventure tourism company:
- We have operated safely in Sri Lankan conditions for many years
- Our guides are expert at assessing local weather patterns
- We will NEVER operate in genuinely unsafe conditions
- Your safety is our absolute priority
If we say conditions are safe to proceed, they are safe. If we say conditions are unsafe, we will cancel without question.
14. Travel Documentation and Requirements
14.1 Passports and Visas
Your Responsibility:
- Ensure your passport is valid for at least 6 months beyond your intended departure date from Sri Lanka
- Obtain the correct visa for Sri Lanka before arrival
- Verify visa requirements for your nationality
- Carry all required travel documents at all times
Rapid Adventures is NOT responsible for:
- Visa application processes or visa denials
- Expired or invalid passports
- Costs incurred due to incorrect or missing documentation
- Inability to participate in activities due to documentation issues
14.2 Permits and Entry Fees
Some activities and locations require special permits or entry fees (national parks, protected areas, archaeological sites, etc.).
When included in package price:
- We will obtain necessary permits on your behalf
- You must provide required information (passport details, etc.) in advance
When NOT included:
- You are responsible for obtaining and paying for permits/fees
- We can provide guidance and assistance but cannot guarantee permit approval

15.2 Response Times
- We aim to respond to all inquiries within 24-48 hours during business days
- Urgent matters during activities: Contact your guide directly or our emergency line
- Booking confirmations: Typically processed within 24 hours of payment receipt
15.3 Complaints and Dispute Resolution
During Your Activity:
- Raise concerns immediately with your guide or on-site staff
- This allows us to address issues in real-time
- Failure to report issues during the activity limits our ability to resolve them
After Your Activity:
- Submit complaints in writing within 14 days of activity completion

- Include: Booking reference, date, detailed description, photos if relevant
- We will investigate and respond within 7 business days
Unresolved Disputes:
- We will make reasonable efforts to resolve all disputes amicably
- If resolution cannot be reached, disputes will be subject to Sri Lankan law and jurisdiction (see Section 18)

16. Website Use and Prohibited Activities
16.1 Acceptable Use
Our website is provided for:
- Researching and booking travel services
- Accessing information about Sri Lanka destinations and activities
- Managing your bookings and account
- Contacting us for legitimate inquiries
16.2 Prohibited Activities
You must NOT:
- Use the website for any unlawful purpose
- Attempt to gain unauthorized access to our systems or data
- Interfere with the website's operation or security
- Transmit viruses, malware, or harmful code
- Scrape, copy, or harvest website data using automated tools
- Impersonate another person or entity
- Submit false or fraudulent information
- Abuse or harass our staff or other users
- Post offensive, defamatory, or inappropriate content
- Violate intellectual property rights
- Engage in commercial use without written permission
Violations may result in:
- Account suspension or termination
- Legal action
- Reporting to relevant authorities
16.3 User Accounts
If you create an account:
- Keep your login credentials confidential
- You are responsible for all activity under your account
- Notify us immediately of unauthorized access
- Do not share accounts with others
- We may terminate accounts for violations of these Terms
17. Miscellaneous Provisions
17.1 Entire Agreement
These Terms and Conditions, together with our Privacy Policy and any specific terms on activity/accommodation pages, constitute the entire agreement between you and Rapid Adventures.
17.2 Amendments
We reserve the right to modify these Terms at any time. Changes will be:
- Posted on our website with an updated "Last Updated" date
- Effective immediately upon posting
- Your continued use of our services after changes indicates acceptance
For bookings already confirmed, the Terms in effect at the time of booking will apply.
17.3 Severability
If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions will remain in full force and effect.
17.4 Waiver
Our failure to enforce any right or provision of these Terms does not constitute a waiver of that right or provision.
17.5 Assignment
You may not assign or transfer your rights or obligations under these Terms without our written consent.
We may assign or transfer our rights and obligations to another entity (e.g., in case of business sale or merger), and you agree to such assignment.
17.6 Force Majeure
We are not liable for failure to perform our obligations due to force majeure events beyond our reasonable control, including:
- Natural disasters (floods, earthquakes, tsunamis, landslides)
- Extreme weather events
- Pandemics or epidemics
- War, terrorism, or civil unrest
- Government restrictions or regulations
- Strikes or labor disputes
- Utility failures or infrastructure damage
In such events, we will make reasonable efforts to provide alternative arrangements or refunds as outlined in Section 5.6.
18. Governing Law and Jurisdiction
18.1 Applicable Law
These Terms and Conditions and any disputes arising from them shall be governed by and construed in accordance with the laws of the Democratic Socialist Republic of Sri Lanka.
18.2 Jurisdiction
You irrevocably agree that the courts of Sri Lanka shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with:
- These Terms and Conditions
- Your use of our website or services
- Your bookings or participation in activities
- Any related matter
18.3 Venue
All legal proceedings shall be conducted in the appropriate courts located in Colombo, Sri Lanka.
18.4 Alternative Dispute Resolution
Before pursuing legal action, we encourage parties to attempt resolution through:
- Direct negotiation
- Mediation
- Other alternative dispute resolution methods
19. Special Terms for Specific Services
19.1 Vehicle Rentals
Additional Terms for Motorcycle, Tuk-Tuk, and Vehicle Rentals:
- Separate rental agreement must be signed
- Valid driving license required (international or local)
- Security deposit required
- Vehicle inspection mandatory before and after rental
- Insurance coverage terms specified in rental agreement
- Traffic violations and fines are your responsibility
- Return vehicle with same fuel level as pick-up
- Late returns subject to additional charges

19.2 Accommodation Bookings
Additional Terms for Stays:
- Each accommodation has its own specific terms and policies
- Check-in/check-out times vary by property
- House rules must be followed
- Damage deposits may be required by some properties
- Cancellation policies vary (see individual property pages)
- Direct payment to accommodation may be required for extras
19.3 Multi-Day Tours and Packages
Additional Terms for Packages:
- Detailed itinerary provided upon booking confirmation
- Inclusions and exclusions clearly specified
- Itinerary may be adjusted for safety, logistics, or circumstances beyond control
- Missed services due to late arrival or early departure are non-refundable
- Minimum participant numbers may be required
- Solo traveler surcharges may apply
20. Premium Package / Travel Assurance Premium
20.1 Overview
Rapid Adventures offers an optional Premium Package (also referred to as "Travel Assurance Premium") that provides enhanced booking flexibility, cancellation protection, and exclusive benefits. This is an add-on service available for purchase at the time of booking.
Purchase of the Premium Package is entirely optional. Standard booking terms apply to all customers who do not purchase this package.
20.2 Premium Package Benefits
Customers who purchase the Premium Package receive the following benefits:
Booking Flexibility:
- Free cancellation up to 48 hours before the scheduled activity (subject to terms in Section 20.4)
- Unlimited date changes based on availability (must request at least 24 hours before current booking)
- Booking transfer privilege – transfer your booking to another person up to 48 hours before the activity (one transfer permitted per booking)
Exclusive Perks:
- Complimentary Rapid Adventures merchandise (branded t-shirt or souvenir) – provided on day of tour or shipped after completion
- Travel concierge service – personalized assistance with trip planning, restaurant recommendations, transport arrangements, and local insights (available 9 AM - 9 PM Sri Lanka time)
- 24/7 emergency support hotline – direct access to our team for tour-related emergencies
Important: Premium Package benefits apply ONLY to the specific booking for which the package was purchased. Benefits cannot be transferred between bookings.
20.3 Premium Package Pricing
- Premium Package fee is calculated as a percentage (typically 12-15%) of the base booking value
- The exact fee will be displayed during checkout before payment
- Premium Package fee is NON-REFUNDABLE under all circumstances, even if the tour is cancelled by you or by us
20.4 Cancellation Terms for Premium Members
If you cancel your booking 48+ hours before the activity:
- You will receive either:
- 100% credit toward any future Rapid Adventures booking (credit valid for 12 months), OR
- 90% cash refund (10% processing fee applies)
- Premium Package fee itself is non-refundable
If you cancel less than 48 hours before the activity:
- Standard cancellation charges apply (see Section 5.2)
- No refund or credit will be issued
- Premium Package fee is forfeited
Weather Cancellations:
- If WE cancel due to weather (per Section 5.5), Premium Package fee will be refunded along with full booking refund
No-Show:
- If you do not show up for your activity, no refund or credit will be issued
- Premium Package benefits are forfeited
20.5 Date Change Terms for Premium Members
- Changes must be requested at least 24 hours before your current booking time
- Subject to availability of new requested date/time
- New dates must be within 12 months of original booking date
- Peak season, holidays, or special event dates may have limited availability
- If your preferred new date is not available, we will offer alternative dates
- No additional fees for date changes (unless upgrading to higher-priced activity)
20.6 Booking Transfer Terms for Premium Members
- Transfer requests must be made at least 48 hours before the activity
- You must provide the new participant's full name, contact details, and any required information (age, fitness level, dietary requirements, etc.)
- New participant must meet all activity requirements (age, health, fitness)
- Only ONE transfer permitted per booking (to prevent abuse)
- We reserve the right to refuse transfers if the new participant does not meet safety or eligibility requirements
20.7 Merchandise Delivery
- T-shirt/souvenir size selection required at time of Premium Package purchase
- Item will be provided on the day of your tour OR shipped to your address after tour completion
- One item per booking (not per person)
- If you cancel your booking, you forfeit the merchandise benefit
- We are not responsible for shipping delays or incorrect size selections
20.8 Travel Concierge Service
What's Included:
- Personalized trip planning assistance
- Restaurant, accommodation, and activity recommendations
- Local insights and insider tips
- Help with transport arrangements and logistics
- General Sri Lanka travel advice
Service Hours:
- Available 9 AM - 9 PM Sri Lanka time via WhatsApp, email, or phone
- Responses typically within 2-4 hours during service hours
What's NOT Included:
- Actual booking of third-party services (hotels, restaurants, etc.) – we provide recommendations only
- We are not responsible for quality, pricing, or issues with third-party services you book based on our recommendations
- Visa applications, flight bookings, or services outside our expertise
20.9 24/7 Emergency Hotline
What's Covered:
- Lost at meeting point or unable to find activity location
- Accidents, injuries, or medical emergencies during your tour
- Urgent rescheduling due to legitimate emergencies (illness, flight delays with proof)
- Equipment failures or safety concerns during activity
- Communication with activity operators on your behalf
What's NOT Covered:
- General inquiries (use regular contact methods during business hours)
- Non-urgent questions about bookings
- Requests unrelated to your current or imminent activity
Important: Emergency hotline is for genuine emergencies only. Misuse or abuse may result in Premium Package benefits being revoked without refund.
20.10 Proof Requirements
For cancellations or reschedules due to:
- Illness/medical reasons: Doctor's note or medical certificate required
- Flight delays/cancellations: Airline confirmation email or booking reference required
- Travel restrictions: Official government advisory or documentation required
Failure to provide proof may result in refusal of cancellation/reschedule benefits.
20.11 Exclusions and Limitations
Premium Package benefits DO NOT cover:
- Cancellations or changes due to "change of mind" or personal preference
- No-shows without valid documented reason
- Cancellations made less than 48 hours before activity
- Third-party service failures (flights, hotels, etc.) unless you can provide official documentation
- Acts of God, force majeure, pandemics, or government shutdowns (unless legally required refunds apply)
- Requests that violate our standard Terms and Conditions
20.12 Premium Package as Insurance Disclaimer
IMPORTANT: The Premium Package is NOT travel insurance.
It provides booking flexibility and convenience benefits but does NOT replace comprehensive travel insurance. We strongly recommend purchasing proper travel insurance that covers:
- Medical expenses and emergency evacuation
- Trip interruption and cancellation
- Personal liability and accident coverage
- Loss of personal belongings
Rapid Adventures is not an insurance provider and the Premium Package does not constitute an insurance policy.
20.13 Combination with Other Policies
- Premium Package terms are IN ADDITION to our standard Terms and Conditions
- Where Premium Package terms conflict with standard terms, Premium Package terms take precedence for those who purchased the package
- All other terms (safety, liability, guide authority, etc.) remain fully applicable
- Purchasing Premium Package does not waive any of your responsibilities or our limitations of liability
20.14 Disputes and Resolution
- Disputes regarding Premium Package benefits will be handled according to Section 15.3 (Complaints and Dispute Resolution)
- Premium Package purchase and use is subject to the Governing Law and Jurisdiction outlined in Section 18
- We reserve the right to make final determinations on Premium Package benefit eligibility
21. Consumer Rights and Protection
21.1 Your Rights
Despite these Terms, you maintain all consumer rights provided under Sri Lankan law that cannot be waived or limited by contract.
21.2 Reasonable Expectations
We commit to:
- Providing services as described on our website
- Operating safely and professionally
- Treating customers fairly and respectfully
- Responding to inquiries and complaints promptly
- Maintaining transparency in pricing and policies

22. Acknowledgment and Acceptance
BY BOOKING ANY SERVICE THROUGH RAPID ADVENTURES, YOU ACKNOWLEDGE THAT:
- You have read and understood these Terms and Conditions in full
- You agree to be bound by all terms, policies, and conditions stated herein
- You accept all risks associated with adventure activities
- You understand the no-refund policy after activity commencement
- You acknowledge guide authority and safety protocols
- You agree to provide accurate information and valid identification
- You accept responsibility for your personal belongings
- You consent to photo/video capture (unless you opt out)
- You understand our role as both operator and agent
- You agree to jurisdiction and governing law as stated
- You understand that the Premium Package is optional and non-refundable
- You acknowledge the specific terms governing Premium Package benefits if purchased
These Terms form a legally binding contract between you and Rapid Adventures (Private) Limited.
